What Is Positive Pay?

Positive Pay is a fraud prevention service offered by banks that matches checks presented for payment against a list of checks the company has actually issued. Before each check run clears, the company uploads a file containing check numbers, amounts, payee names, and issue dates. When a check arrives at the bank for payment, it is compared against this list. Any check that does not match — wrong amount, unknown check number, altered payee — is flagged as an exception for the company to review and approve or reject before funds are released.

How Positive Pay Prevents Check Fraud

Check fraud remains one of the most common forms of payment fraud, costing businesses billions annually. Counterfeit checks, altered amounts, and forged payee names can all slip through without Positive Pay protection. The system acts as a gatekeeper: only checks that exactly match the issued file are paid automatically. Everything else requires explicit approval. Most banks require the file within a specific window after checks are printed — typically the same business day or next morning — making timely, accurate file generation essential.
